Since transitioning to Bill.com, we have discovered that the software does not have a robust way to handle “PrePaids.” Bill.com allows one set of rules for approving bills and does not have an option to bypass these rules for those bills already paid (for instance, bills on autopay). We are in conversations with Bill.com about this issue and hope they will initiate a resolution soon.
In order to insure the security and integrity of the process we provide for Kesef clients, we are making the following changes:
All PrePaids transactions will be entered directly into QuickBooks.
The visual of this bill will be filed under the appropriate vendor in Bill.com in the document section of the vendor.
Bills will be labeled with a date, invoice #, $amount, and vendor name.
When PrePaids are emailed to Bill.com, "prepaid" should be indicated in the subject line and any notes should be put directly in the body of the email.
